What a cash flow forecast is, and how this one works
A cash flow forecast is your bank balance, projected day by day: what you have today, plus money in on the days it lands, minus money out on the days it leaves. The useful figure is not where you end up but the lowest point on the way, and the day it arrives. That is the day a bill could land before the money to pay it.
Irregular income gets a second, careful line where every payment comes in lower by how much it usually swings. The lowest point, the runway and “spare today” are all read from that careful line, because a forecast for uneven income earns its keep in the lean month, not the average one.
Forecasting for every way you earn
Most forecasting tools are built for a business with a ledger and a payroll. Plenty of people earn another way: from clients, jobs, platforms, a marketplace or a trading account. The shape of the money is what changes the forecast, so each way of earning starts from its own rhythm.
| Way of earning | How money usually arrives | Lean-month swing | What to plan around |
|---|---|---|---|
| Employee | Every two weeks | Steady | A salary on a fixed pay cycle. The swing is small; the bills are what move the low point. |
| Freelancer | Per job or invoice, about every ten days | Up to 20% lower | Invoices paid as clients pay them. Plan around the slow month, and set tax aside from every payment. |
| Tradie | Every week | Up to 20% lower | Jobs paid weekly or on completion, with materials and the ute in the bills. |
| Creator or streamer | Once a month | Up to 50% lower | Platform payouts once a month, plus sponsorships that come and go. A lumpy month is normal. |
| Rideshare or delivery | Every week | Up to 20% lower | Weekly payouts that follow the hours you drive. Fuel and the car sit in everyday spending. |
| Online seller | Every two weeks | Up to 20% lower | Marketplace payouts every week or two, with stock to pay for before it sells. |
| Trader | Per job or invoice, about every ten days | Up to 50% lower | Gains you take out of a broker account arrive unevenly. This forecasts the cash in your bank, not the portfolio. |
| Small business | Every week | Up to 20% lower | Takings most weeks, with suppliers, rent and wages on their own rhythm. |
“Per job or invoice” is modelled as a payment about every 10 days. The swings are starting points for the careful line, not statistics: set the one that matches your own last few months.
From a calculator to your real forecast
A calculator works from the figures you type. In 2Fin, the forecast works from your own records: the balance your bank feed last reported, every bill Fin found repeating, the invoices clients owe you, your pay days, and your everyday spending from the last 90 days, without counting anything twice. It draws the next 30, 60 or 90 days, marks the low point, and lists the biggest items on the way. How the 2Fin forecast works.
The forecast is on the ELITE+ and AUTO+ plans. The list underneath it, Upcoming, with every bill, pay day and payment you are owed, is free on every plan, and so is your daily burn rate.
Cash flow forecasts, answered
How do I forecast cash flow when my income is irregular?
Forecast two lines instead of one. The expected line uses your usual income; a careful line takes every payment in lower by how much it usually swings. Put your bills on the days they are due, spread everyday spending across each day, and read the lowest point of the careful line. If that stays above zero, a lean month is covered. If it dips, you know the day and the size of the gap weeks before it arrives.
What is the lowest point in a cash flow forecast, and why does it matter more than the end balance?
The lowest point is the smallest balance your account reaches on the way to the end of the forecast, and the day it happens. A month can finish comfortably and still dip below zero for a few days when rent lands before a payment does. Overdrawn days cost fees and stress, so the low point and its date are the figures to plan around. The end balance tells you where you finish, not whether the trip there is safe.
What is cash runway for a person rather than a startup?
It is how many days your money lasts on the path you are on: the first day the forecast balance goes below zero. A startup counts runway in months of burn; for a freelancer, creator or driver it is more useful as a day, read from a forecast that already includes the bills and the pay due in between. If the careful line never goes below zero, your runway is longer than the forecast.
How much of each payment should I set aside for tax?
It depends on your country, your other income and your deductions, so no single percentage is right for everyone. Work out what your year’s tax is likely to be, divide it by what you expect to earn, and set that share aside from each payment. The free income tax calculators for Australia, the UK, the US and India give the first figure. The slider here then shows how that set-aside changes your cash in the meantime.
Should I forecast 30, 60 or 90 days ahead?
Ninety days is the usual window for cash: far enough to catch a quarterly bill or a slow month, near enough that the bills and pay in it are mostly known. Thirty days answers “is the next month safe?”. For planning a year, a trend across your monthly income and spending is a better tool than a day-by-day line.
Does this calculator store my figures?
The forecast is worked out in your browser as you type, and there is nothing to sign up for. Your figures are written into the page address so a result can be shared as a link, so clear them before you share the page if you would rather not.
