AI2Fin vs Tofu

AI2Fin vs Tofu — US$0 to start, US$23 a month for the owner’s toolkit, on your own machine if you like

If you are one person running a business, the first question is not features — it is who owns the tool and what it costs. AI2Fin starts at US$0 with no card, Premium is US$23 a month for your own bank feed, receipt capture, categorisation and tax exports, and the desktop edition keeps your database and receipts in a folder on your machine. Tofu lists Pro at US$79 a month, is cloud-only, and is built for an accounting firm processing hundreds of client documents — it reads invoices and statements line by line and pushes drafts into each client’s Xero or QuickBooks file. Both are good at what they are for. This page is about which one is for you.

Where AI2Fin takes a different approach

Not better in every way for every user — but meaningfully different where it counts.

US$0 to start, US$23 for the owner’s toolkit — and a copy you own

The free plan needs no card. Premium (US$23/month) adds your own bank feed, photo receipt capture, unlimited categorisation and tax exports. The desktop app for Windows, macOS and Linux keeps your database and receipts in a folder you can open, lets you bring your own model key or run a local model, and shows a record of every outbound request. Tofu is priced for a firm — Pro from US$79/month — and runs only in the cloud.

Your bank feed, not just documents

Connect a feed with a key you own — BankSync, SimpleFIN, Akahu, Up Bank, Monzo or Starling — or upload a CSV or XLSX, point Fin at a Google Sheet, or drop statements into a watched folder on the desktop edition. Spending you never got a receipt for is still categorised, GST-split and checked for deductions.

Budgets, bills and recurring patterns

Tofu ends when the draft bill reaches the ledger. AI2Fin keeps going: budgets that watch themselves, recurring bills spotted from your transactions, and travel and vehicle deductions tracked through the year rather than reconstructed at tax time.

Receipts in 100+ languages, merchant kept in the original script

Send a receipt by email, photo or Telegram and Fin reads it in over a hundred languages, keeping the merchant name exactly as printed with a translation beside it — so a Tokyo taxi receipt is still searchable as the name on the paper.

Ask ChatGPT or Claude about your real numbers

The AI2Fin MCP integration lets you query your own finances in plain language — “what did I spend on software this quarter?” — something a firm-side extraction tool has no reason to offer the owner.

Tax settings for 84 countries

GST, VAT and sales-tax handling per transaction, with BAS-ready exports for Australia and equivalent exports elsewhere, so the numbers your accountant receives are already tax-shaped.

Hand your accountant coded transactions, not a document pile

Send the transactions you choose to Xero or QuickBooks Online as coded entries with the receipt attached (beta), or download the accountant pack — a typed XLSX workbook, a one-page PDF summary and a zip of receipts — for one financial year. What reaches your accountant is already sorted, so the extraction step Tofu sells to firms has less to do.

Which one fits you?

Both are good tools — the right pick depends on what your business needs most.

Tofu suits you when…

  • You run an accounting practice processing thousands of client documents a month and need every line item extracted, coded from your firm’s own history and pushed into each client’s Xero or QuickBooks file.
  • Your clients hand you paper — handwritten dockets, statements in unusual languages, WhatsApp photos — and the extraction quality across 200+ languages is the whole job.
  • You want unlimited users and entities on one firm-wide subscription rather than per-owner accounts.
  • You need bank-statement PDFs turned into bank transactions in the ledger for clients who do not have a feed.

AI2Fin suits you when…

  • You are the business owner and want your finances running day to day — bank feed, budgets, bills, deductions — not just documents captured for someone else’s ledger.
  • You want receipts read from an email, a photo or a Telegram message in whatever language they arrive in, and searchable later by the name on the paper.
  • You want to ask ChatGPT or Claude about your real spending, or send finished rows to Google Sheets, Notion or Airtable.
  • You want to start free, and hand your accountant coded transactions — pushed straight to Xero or QuickBooks Online with the receipt attached while that connector is in beta.

AI2Fin vs Tofu — common questions

Do I need Tofu and AI2Fin, or just one of them?

For a one-person business, just AI2Fin: it takes your bank feed and receipts, categorises and GST-splits every transaction, and hands your accountant coded entries — pushed to Xero or QuickBooks Online with the receipt attached (beta), or as the accountant pack for the year. Tofu is a tool an accounting firm buys for itself, at US$79 a month and up, to extract data from the documents its clients send in. If your accountant already uses Tofu inside their practice, that is their subscription, not yours; what you send them from AI2Fin arrives already coded, so there is simply less for their extraction step to do. You would not buy both.

What does an accountant see when I use AI2Fin rather than Tofu?

Coded transactions instead of raw documents. In Xero or QuickBooks Online they see the entries you chose to push — a Spend or Receive Money, or a Purchase or Deposit — with the account code applied and the receipt PDF attached to the line. Outside the ledger, you can hand them the accountant pack for a financial year: a typed XLSX workbook, a one-page PDF summary and a zip of receipts. If they are on AI2Fin’s Practice workspace and you accept their invitation, they can also read a bounded summary of your year — totals by category, deductible totals, unmatched receipts, connected ledgers — with every read logged for you to see, and you can revoke it at any time. They never get a login to your account, and nothing is pushed unless you push it.

Can AI2Fin push transactions into Xero or QuickBooks like Tofu does?

Yes, in beta. AI2Fin’s direct connectors read your chart of accounts and the last twelve months of coding to propose rules, then push each transaction you choose as a coded Spend or Receive Money in Xero, or a Purchase or Deposit in QuickBooks Online, with the receipt attached. Tofu’s push is mature and firm-oriented; it is the centre of that product. For MYOB, AI2Fin produces a CSV the file can import.

Does Tofu connect to my bank?

No. Tofu works from documents — it can extract transactions from a bank-statement PDF, but it does not hold a bank connection. With AI2Fin you connect a feed yourself with a key you own — BankSync, SimpleFIN, Akahu, Up Bank, Monzo or Starling — or upload CSV or XLSX statements, point Fin at a Google Sheet, or use a watched folder on the desktop edition. Bank-feed transactions stay inside AI2Fin unless you choose to include them in a push.

How do receipt languages compare between Tofu and AI2Fin?

Tofu reads 200+ languages including handwriting, which matters for a firm receiving documents from every client. AI2Fin reads receipts in 100+ languages and keeps the merchant name in its original script with a translation beside it, so the record still matches what is printed on the receipt — useful when you travel or buy from overseas suppliers and want to find that transaction again.

Do I need an accountant to use Tofu?

Tofu is sold to accounting and bookkeeping firms, with pricing per firm and unlimited client entities. If you are not running a practice, AI2Fin is built for you directly, starts free, and the transactions you keep in it can be exported or pushed to the ledger your accountant already uses.

Which is better for tax time — Tofu or AI2Fin?

They help different people at tax time. Tofu speeds up the firm’s data entry so the ledger is complete. AI2Fin keeps GST separated per transaction, tracks travel and vehicle deductions, and produces BAS-ready exports for Australia and equivalent exports for 84 countries’ tax settings, so what reaches your accountant is already organised. AI2Fin helps you find and organise potential deductions; always confirm eligibility with your accountant or tax authority.
